Policies

  • 1.Name of Club

    The club will be called Mi:ssion TTC Barnsley (Hereinafter will be referred to as The Club), and may also be known as Mi:ssion TTC.  which will be affiliated to Table Tennis England, the sport’s governing body in England.

    2. Aims and Objectives

    The aims and objectives of the club will be:

    To offer coaching and competitive opportunities in Table Tennis

    To promote the club within the local community and Table Tennis

    To manage the Mi:ssion TTC

    To ensure a duty of care to all members of the club

    To provide all its services in a way that is fair to everyone

    3. Membership

    (a) Membership of the club is open to anyone interested in promoting, coaching, volunteering or participating in Table Tennis, regardless of sex, age, disability, ethnicity, nationality, sexual orientation, religion or other beliefs.

    (b) The membership shall consist of the following categories:

    Full member

    Junior member

    (c) All members will be subject to the regulations of the constitution and by joining the club will be deemed to accept these regulations and codes of practice that the club has adopted.

    (d) Members in each category will pay membership fees, as determined at the Annual General Meeting.

    (e) Individuals shall not be eligible to take part in the business of the Club, vote at general meetings or be eligible for selection of any Club team unless the applicable subscription has been paid by the due date and/or membership has been agreed by the Club committee.

    (f) The committee members will now have the discretion to waive fees where individuals are suffering financial hardship.

    4. Sports Equity

    This Club is committed to ensuring that equity is incorporated across all aspects of its development. In doing so it acknowledges and adopts the following Sport England definition of sports equity:

    Sports equity is about fairness in sport, equality of access, recognising inequalities and taking steps to address them. It is about changing the culture and structure of sport to ensure it becomes equally accessible to everyone in society.

    The Club respects the rights, dignity and worth of every person and will treat everyone equally within the context of their sport, regardless of age, ability, gender, race, ethnicity, religious belief, sexuality or social/economic status.

    The Club is committed to everyone having the right to enjoy their sport in an environment free from threat of intimidation, harassment and abuse.

    All club members have a responsibility to oppose discriminatory behaviour and promote equality of opportunity.

    The Club will deal with any incidence of discriminatory behaviour seriously, according to club disciplinary procedures.

    5. Committee

    The affairs of the Club shall be conducted by a Committee which shall consist of the Chair, Treasurer, and Secretary who shall be elected at the Annual General Meeting.

    All committee members must be members of the Club.

    If required, the committee shall elect a Vice Chair from among its members.

    The term of office shall be for one year, and members shall be eligible for re-election.

    If the post of any officer or ordinary committee member should fall vacant after such an election, the Executive Committee shall have the power to fill the vacancy until the succeeding Annual General Meeting.

    The Committee will be responsible for adopting new policy, codes of practice and rules that affect the organisation of the club.

    The Committee will have powers to appoint any advisers to the Committee as necessary to fulfil its business.

    The Committee will be responsible for disciplinary hearings of members who infringe the club rules/regulations/constitution. The Committee will be responsible for taking any action of suspension or discipline following such hearings.

    The committee meetings will be convened by the Secretary of the Club and be held no less than 4 times per year.

    Only the posts listed above will have the right to vote at committee meetings.

    The quorum required for business to be agreed at Management Committee meetings will be 3

    6. Finances

    (a) The club treasurer will be responsible for the finances of the club.

    (b) The financial year of the club will run from 1st April  and end on 31st March

    (c) All club monies will be banked in an account held in the name of the club. 

    (d) An audited statement of annual accounts will be presented by the treasurer at the Annual General Meeting.

    (e) Any cheques drawn against club funds should hold the signatures of the treasurer plus up to two other officers.

    All members of the Club shall be jointly and severally responsible for the financial liabilities of the Club.

    7. Annual General Meetings and Extraordinary General Meetings

    General Meetings are the means whereby the members of the Club exercise their democratic rights in conducting the Club’s affairs.

    The Club shall hold the Annual General Meeting (AGM) in the month of May to:

    Approve the minutes of the previous year’s AGM. 

    Receive reports from the Chairman and Secretary. 

    Receive a report from the Treasurer and approve the Annual Accounts. 

    Receive a report from those responsible for certifying the Club’s accounts. 

    Elect the officers on the committee. 

    Agree the membership fees for the following year. 

    Consider any proposed changes to the Constitution.

    Deal with other relevant business.

    Notice of the AGM will be given by the club secretary with at least 28 days’ notice to be given to all members.

    Nominations for officers of the committee will be sent to the secretary prior to the AGM.

    Proposed changes to the constitution shall be sent to the secretary prior to the AGM, who shall circulate them at least 7 days before an AGM.

    All members have the right to vote at the AGM.

    The quorum for AGMs will be 3.

    The Chairman of the Club shall hold a deliberative as well as a casting vote at general and committee meetings.

    An Extraordinary General Meeting (EGM) shall be called by an application in writing to the Secretary supported by at least 10% of the members of the Club.  The committee shall also have the power to call an EGM by decision of a simple majority of the committee members.

    All procedures shall follow those outlined above for AGMs.

    8. Amendments to the constitution

    The constitution will only be changed through agreement by majority vote at an AGM or EGM.

    9. Discipline and appeals

    All concerns, allegations or reports of poor practice/abuse relating to the welfare of children and young people will be recorded and responded to swiftly and appropriately in accordance with the club’s child protection policy and procedures. The Club Welfare Officer is the lead contact for all members in the event of any child protection concerns.

    All complaints regarding the behaviour of members should be presented and submitted in writing to the Secretary.

    The Management Committee will meet to hear complaints within NUMBER days of a complaint being lodged. The committee has the power to take appropriate disciplinary action including the termination of membership.

    The outcome of a disciplinary hearing should be notified in writing to the person who lodged the complaint and the member against whom the complaint was made within NUMBER days of the hearing.

    There will be the right of appeal to the Management Committee following disciplinary action being announced. The committee should consider the appeal within NUMBER days of the Secretary receiving the appeal.

    10. Dissolution

    (a) A resolution to dissolve the club can only be passed at an AGM or EGM through a majority vote of the membership.

    (b) In the event of dissolution, all debts should be cleared with any club's funds. Any assets of the club that remain following this will be given to another charitable group with similar aims.

  • Club/League Welfare Officer Role Description

    The role of the Club/League Welfare Officer is a voluntary one supporting the work of Mi:ssion Table Tennis Club Barnsley Safeguarding Manager at a local level and county level. The person needs to have good listening skills, be diplomatic and discreet, preferably with some safeguarding knowledge but this is not essential. They do not need to be a table tennis player. Table Tennis England recommends that every club and league have a welfare officer in place.

    Responsibilities:

    § Agree to, act on, promote and uphold Mi:ssion Table Tennis Club Barnsley Safeguarding Guidelines and policies.

    § Assist Mi:ssion Table Tennis Club Barnsley to fulfil its responsibilities to safeguard children in the sport.

    § Maintain an up to date list of all coaches associated with the club/league and ensure that they are licensed, have an up to date DBS check, have attended relevant safeguarding, first aid and CPD training as required.

    § Ensure that safer recruitment procedures as set out in Mi:ssion Table Tennis Club Barnsley Safeguarding

    Guidelines are followed during the appointment of coaches and volunteers who work with young people.

    § Attend safeguarding training to ensure an understanding and knowledge of the most up to date information with relation to child protection issues.

    § Encourage all club/league personnel and coaches working with young people to attend safeguarding training.

    § Ensure that all safeguarding updates from Mi:ssion Table Tennis Club Barnsley are communicated to the club/league and its members.

    § Support and advise the club/league committee by attending management meetings to ensure that all young people are provided with a child centred environment in which to play and compete.

    § Promote open relationships with all members and others ensuring that confidentiality is maintained at all times.

    § Check that the Club/League Welfare Officer’s contact details are readily available to all club/league members.

    § Maintain contact details for local Children’s Services and Police.

    § Act as the first point of contact for the Mi:ssion Table Tennis Club Barnsley Safeguarding Manager,

    § Act as the first point of contact for volunteers, parents and children/young people where concerns about children’s welfare, poor practice or child abuse are identified.

    The Club/League Welfare Officer is NOT expected to make judgements on whether child abuse has or has not taken place but to ensure that Mi:ssion Table Tennis Club Barnsley Safeguarding Manager and the relevant statutory agencies (if appropriate) are informed of any issues as soon as possible. The recommended course is UK Coaching’s Safeguarding and protecting Children initially attending the workshop and then every 3 years alternating with the e-learning refresher course. Once the workshop has been completed then to attend the Time to Listen training delivered via the officer’s local CSP.

    The aim of this policy is to promote good practice by ensuring that all Mi:ssion Table Tennis Club Barnsley members:

    Are fully aware of their responsibilities with regard to child protection.

    Safeguard and promote the interests and well being of young people with whom they are working.

    Respond appropriately to concerns.

    Take all reasonable and practical steps to protect young people from harm, discrimination or degrading treatment.

    Respect and promote young people’s rights, wishes and feelings.

    Make informed and confident responses to child protection issues.

    Mi:ssion Table Tennis Club Barnsley Child Protection Policy and Guidelines will:

    Offer safeguards to young people, coaches, staff, officials and volunteers.

    Help to maintain high standards of professionalism and practice at all levels of the sport.

    Implementation procedures that demonstrate a commitment to:

    The provision of support, appropriate training (and updating) and adequate supervision of coaches, staff and members to enable them to work together with parents, coaches and other organisations to ensure that the welfare and needs of children and young people remain paramount.

    Mi:ssion Table Tennis Club Barnsley believes in and seeks to uphold the following principles:

    The child’s welfare is paramount.

    All children and young people whatever their age, culture, disability, gender, racial origin, religious belief and/or sexual identity have the right to protection from abuse.

    Staff, officials and volunteers are not trained to decide whether abuse has occurred but are vested with the responsibility for ensuring that they act upon any concerns or allegations in relation to children/young people.

    The processes for dealing with complaints are fair and open to challenge through an appeals process.

    Require staff and volunteers to adopt and abide by Mi:ssion Table Tennis Club Barnsley Child Protection Policy and Guidelines, which incorporate Mi:ssion Table Tennis Club Barnsley Codes of Conduct.

    The club has adopted the Mi:ssion Table Tennis Club Barnsley Child Protection Policy and Guidelines. A copy of the guidelines is available for members to read at the club venue.

  • E-Safety Policy

    This policy provides guidance on the procedures that will support and underpin the use of social networking and other online services within table tennis and should be read in conjunction with the Social Media Guidelines. It is important that all members, volunteers, coaches, officials and parents are aware of this policy and agree to abide by the following terms:

    • To protect all young people who make use of technology e.g. mobile phones, ipads, games consoles, hand held devices and the internet whilst they are within they are playing or involved with table tennis.

    • To provide our members and volunteers with policy and procedure information regarding e-safety.

    • To ensure everyone within table tennis is operating in line with our values and within the law regarding how IT (information technology) is used.

    E-Safety Checklist

    1. Ensure that all members, staff and volunteers understand the safety aspects including what is acceptable and unacceptable behaviour when using digital technology such as social networking sites e.g. Twitter and Facebook, mobile phones, game consoles and the internet.

    2. When engaging with digital technology and/or social networking companies it is important to ensure that everyone adheres to relevant legislation and good practice guidelines.

    3. Adopt the Mi:ssion Table Tennis Club Barnsley Safeguarding Guidelines so it is clear how to report online concerns about possible abuse.

    4. For clubs/leagues/counties decide how your webpage will be managed and by whom to ensure that appropriate measures are in place to:

    • Vet and manager the webpage/s

    • Whoever is managing the webpage receives the appropriate training

    • Ensure that the Club/League/County Welfare Officer is involved in checking the content

    • Ensure that any interactive content is moderated e.g. club social network page/discussion forums

    5. Registration or ‘signing up’ to your club’s social media pages:

    • Choose an appropriate email address to register/set up a profile or account

    • Ensure the appropriate security settings are set up

    6. Ensure that adequate privacy settings are in place either restricting or allowing access to photos, personal information, comments, friends and followers.

    7. Ensure that members, volunteers, parents and players are aware of the need to protect their privacy online and should be encouraged to carefully consider who they give access to their personal information online. Everyone should ensure that there is a clear differentiation between their personal and professional profiles.

    8. Address safety when adding content to the club webpage or profile:

    • Promote safe and responsible use

    • Avoid taking personal details of young people

    • When uploading content – ‘think before you post’

    • Report fake or imposter webpages or profiles

    9. Address safeguarding when promoting your club/league/county and table tennis

    10. Promote your club/league webpage using the club/league’s own email rather than personal accounts

    11. Encourage club members, parents, volunteers and players to ‘think’ before posting comments or entering discussions being aware of the impact of any comments they may make on other people.

  • EQUAL OPPORTUNITIES POLICY

    Table Tennis as one of the world’s great sports is played and enjoyed by millions of people in every continent, irrespective of age, gender, disability, race, ethnic origin, nationality, colour, parental or marital status, pregnancy, religious belief, class or social background, sexual preference or political belief. Mi:ssion Table Tennis Club Barnsley recognises that in an increasingly diverse society it is necessary to support the principles of equal opportunities which will ensure that all of its participants in training and coaching programmes are treated not only fairly but also on an equal basis.

    Mi:ssion Table Tennis Club Barnsley will actively promote its training and education programmes within key target groups, namely; women and girls, people with disabilities, members of ethnic minority communities and people from socially excluded communities in accordance with it’s Equality and Diversity Policy and the Equality Standard for Sport objectives. Mi:ssion Table Tennis Club Barnsley further acknowledges that different ethnic minority communities exist, and that people from these communities will have different opportunities to take part in these programmes. In view of this, the association will commit to ensuring its work will target those people and communities that are most socially excluded.

    Mi:ssion Table Tennis Club Barnsley will further ensure that all its materials, procedures and assessment techniques will take account of the following:

    • The language or format used will not be offensive to any of the participants

    • Will avoid the use of stereotype or biased attitudes

    • The meaning is clear to all participants

    • Is readily understandable to all

    The challenge facing Mi:ssion Table Tennis Club Barnsley is to avoid any inequality within its publicity, education and assessment processes by embracing the following principles:

    § discrimination whether direct or indirect will not be tolerated,

    § every member to be responsible for creating a welcoming comfortable environment for anyone wishing to participate

    § that all individuals have the right to participate in and enjoy table tennis

    § equality is not just about treating everybody the same, sometimes action needs to be taken to target any under represented groups or relaxing some of the processes to encourage those people with special needs to participate provided that this action still upholds the quality and integrity of the training and education programmes,

    § all recruitment and selection procedures, whilst meeting all the necessary legal requirements, will be fair and transparent for all

    § any known or perceived inequalities or incidents of harassment, bullying or victimisation will be regarded as serious misconduct and will be liable to the appropriate disciplinary action

    • Respect and promote the rights, wishes and feelings of all young people and adults and take all reasonable and practical steps to protect them from harm, discrimination or abuse.

    • Be offered support and training to allow them to fulfill their individual role with regard to the protection and safeguarding of young people and adults.

    Mi:ssion Table Tennis Club Barnsley believes in and seeks to uphold the following principles:

    • The welfare of the children and adults is paramount.

    • All young people and adults have the right to protection from abuse regardless of their age, culture, disability , gender, racial origin, religious belief and/or sexual identity.

    • All allegations will be taken seriously and any reports of concerns will be dealt with promptly and sensitively ensuring all appropriate action is taken.

    • Staff and volunteers recognize they have the responsibility to ensure that they act upon any concerns or allegations.

    • Processes for dealing with all complaints and allegations are fair and open to challenge through the appeals process.

    • Mi:ssion Table Tennis Club Barnsley commits to support anyone who, in good faith, reports their concerns.

    • Requires all staff and members to adopt and abide by Mi:ssion Table Tennis Club Barnsley Safeguarding Guidelines.

    In drawing up this policy and the guidelines Mi:ssion Table Tennis Club Barnsley have taken into account the following legislation for safeguarding both young people and adults:

    Personal information will be treated in strict confidence, within the limits of the law, which requires that the Police, Children’s Services, Adult Services and/or any other statutory agencies including the NSPCC be informed where there are concerns that a child or adult is at serious risk of harm or it is believed that a crime has been committed.

  • GUIDELINES ON SAFE USE OF SOCIAL NETWORKING

    Mi:ssion Table Tennis Club Barnsley takes its responsibility in terms of providing advice and guidelines in respect of safeguarding our young people and vulnerable adults very seriously.

    In recent years the use of social media networking sites like Facebook, Twitter, Snapchat, YouTube, Tumblr, Instagram and Periscope have become immensely popular with both adults and young people alike. Used safely they provide an incredible tool to enable us all to promote our sport, publicise events and make contact with our members whether that be at club, league, county or national level. In addition sites like You Tube allow us to be able to upload clips and videos to share moments from our sport which can reach tens of thousands of people at the click of a button.

    Unfortunately whilst the use of these, and other types of social media, for example text messaging, offer exciting opportunities they bring with them dangers and the ability for abuse if not used safely.

    These guidelines are intended to be used by both young people and adults alike in order to use social media safely and in a manner that makes the most of the advantages. These guidelines should be read in conjunction with the E-Safety Policy. For the purposes of this policy young people are defined as under the age of 18.

    What is Social Media:

    • Facebook A popular free social networking website that allows registered users to create profiles, upload photos and videos, send messages and keep in touch with friends, family and colleagues.

    • Twitter An online social networking site that enables users to send and read short 140 character messages called ‘tweets’. Registered users can read and post tweets but those who are unregistered can only read them.

    • YouTube A video sharing website which provides a forum for people to connect, inform and inspire others across the globe and acts as a platform for original content creators.

    • Snapchat A mobile messaging application used to share photos, videos, text, and drawings. It's free to download the app and free to send messages using it. It has become hugely popular in a very short space of time, especially with young people.

    • Instagram A fun and quirky way to share your life with friends through a series of pictures. Snap a photo with your mobile phone, then choose a filter to transform the image into a memory to keep around forever.

    • Tumblr Lets you share anything, post texts, photos, quotes, links, music and videos from your browser, phone, desktop, email or wherever you happen to be. It is a cross between a social networking site and a blog.

    • Periscope Is Twitter’s new video streaming platform that is taking the social media world by storm.

    Coaches, Responsible Adults, Umpires, Referees, Club and League Officers

    Indeed this will apply to anyone who is in a position of responsibility and trust in respect of young people in table tennis.

    • Do not accept any personal friend requests from any young person involved in table tennis.

    • Do not send out any personal friend requests to any young people involved in table tennis.

    • Your personal social networking sites should never be used to contact young people within the sport.

    • Be aware of your own personal responsibility and do not use social media sites to criticise Table Tennis England or any other individual involved in the sport whether as an employee or a volunteer.

    Mi:ssion Table Tennis Club Barnsley does recognise, however, that the use of social media is a very effective way to communicate, promote or contact people and members if used in an appropriate manner. We would recommend that clubs and leagues etc set up their own social media sites controlled and monitored by the club or league to ensure that all posts are checked and that photos have parental consent to be posted as per the Mi:ssion Table Tennis Club Barnsley Photographic Policy.

    There are some instances that parents are also coaches or hold a position of responsibility and trust in respect of young people in our sport. We acknowledge that in their role as parents/carers they may feel it necessary to monitor their child’s activities in respect of social media which would give them access to their child’s lists of friends and contacts. Under these circumstances we would encourage the parent/carer to:

    • Never have direct contact on their home site with a young person involved in table tennis.

    • Not accept friend requests from young people in table tennis on their home sites including those from young officials, sports leaders or officers.

    • Ensure that the Club/League Welfare Officer is aware of the situation. Members under the age of 18

    • Young Officials, Sports Leaders Keep your personal sites separate and when contacting other coaches, officials or officers on table tennis matters always use the official social media sites and do not attempt to contact them through their personal sites. Similarly when making contact in your official capacity with other young people ensure that you always use the official social media sites. Also follow the guidelines below for all young people.

    • Mi:ssion Table Tennis Club Barnsley members under the age of 18:

    1. Do not send friend requests or invite coaches, umpires, officers or any adult who may be involved with you in table tennis to join your personal social media accounts.

    2. Be careful what you post on social media always remembering that it may be shared across the internet whether it be comments, photos or videos – this may not always be in the way that you wanted or intended it to be shared.

    3. If you are talking to people in social media sites be sure that you know who they are and always follow the advice given by www.ceop.gov.uk to use the internet safely.

    4. When posting on social media be aware that you are not being hurtful or making comments that could cause upset that you may regret sharing later.

    5. Do not post photos of other members on your social media site without their and their parents/carers permission if they are under the age of 18.

    • www.thinkuknow.co.uk the main government website with advice on how to keep children safe online.

    • www.ceop.police.uk the government agency dedicated to eradicating the online abuse of children, any concerns can be reported on through this site.

    • www.iwf.org.uk (Internet Watch Foundation) works to remove any illegal material from the internet again there is a reporting mechanism where you can report any explicit material.

    • www.nspcc.org.uk has lots of advice on keeping children safe online.

  • PHOTOGRAPHY AND USE OF CAMERAS/VIDEOS INCLUDING MOBILE PHONES GUIDELINES

    Mi:ssion Table Tennis Club Barnsley is committed to providing a safe and enjoyable environment for young people to play and compete in their chosen sport. Part of this is recognising that both Mi:ssion Table Tennis Club Barnsley and the player’s relatives and carers will want to celebrate their success and promote table tennis whilst at all times protecting our young players and, therefore, asks that everyone abides by the following:

    ü Consent must be given by parents/carers for the taking and publication of photographic images of young people.

    ü Young people should be appropriately dressed for table tennis.

    ü Photography should focus on the activity rather than the person and any personal details

    e.g. address should never be published.

    ü Any concerns should be passed immediately to the event point of contact and then to the

    Mi:ssion Table Tennis Club Barnsley Safeguarding Manager.

    PHOTOGRAPHIC/VIDEO/MOBILE PHONE EQUIPMENT

    • Anyone wishing to use photographic and/or videoing equipment at any Mi:ssion Table Tennis Club Barnsley organised event must first register their intent with the Event Organisers.

    • Anyone taking photos must have a valid reason for doing so and should produce, if asked, a valid Coach or Player Licence, prove that they are related to a player or have an official Press Card.

    • The organiser will provide the person with a sticker for the day, which must be displayed, and visible at all times.

    • Permission to use photographic equipment is solely at the discretion of the event organiser.

    • The tournament organiser or referee may challenge any person using cameras or videos during the course of a competition or event.

    • Anyone using a camera/video who is not displaying their sticker may be stopped immediately from filming or taking photographs.

    • Anyone continuing to use photographic equipment after being warned may be asked to leave the event and the matter reported to the Table Tennis England’s Safeguarding Manager as soon as possible to allow any further action, if needed, to be taken promptly.

    • To help enforce this policy Table Tennis England suggests that large signs be displayed at the entrance to the venue stating that ‘NO UNAUTHORISED USE OF CAMERAS OR VIDEOS ALLOWED’. These can be obtained from the Mi:ssion Table Tennis Club Barnsley.

    CHILD PROTECTION CONTACT AT EACH EVENT

    • It is the recommendation of Mi:ssion Table Tennis Club Barnsley that event organising committees should appoint one member to act as the child protection contact at their event.

    • The name of the person appointed should be displayed at the Registration Desk during the event.

    • The nominated person should have attended a Safeguarding Workshop.

    • The role of the contact is to report concerns about any incidents of child abuse to Mi:ssion Table Tennis Club Barnsley Safeguarding Manager and/or, if the incident is considered to be serious, to the local police or Children’s Services.

    • The contact will not be asked to make any judgements as to whether abuse was or was not taking place but to report the incident.

    • A supply of incident reporting forms may be obtained from Mi:ssion Table Tennis Club Barnsley free of charge.
